The Canberra Public Sector group are seeking to recruit a Legal Team Assistant on a permanent part-time or full-time basis to provide secretarial and administrative support to a Partner and a number of lawyers.

This role would suit a junior administrator (or motivated law student) looking to develop skills in a top tier law firm environment. The successful candidate will have the opportunity to ensure that effective administration processes are in place to support the efficient day to day running of the practice.

Key responsibilities

In this varied and busy role you will be responsible for:

  • Drafting, reviewing and preparing correspondence/documentation
  • Managing all incoming correspondence, as well as providing a proactive and efficient approach to producing correspondence without direction
  • File management as well as actively attending to email filing/management authors Managing telephones, electronic diaries and voicemail for team members
  • Organising meetings and travel, including a proactive approach to reorganising commitments on a needs basis
  • Manipulation of complex documents
  • General accounts, reporting and preparation of monthly billing
  • Collating monthly bills and providing to clients
  • Preparation and completion of various weekly and monthly client reports
  • Liaising with clients with respect to any queries/questions they have in relation to the content of the client reports.

Skills & Experience

To be successful in this role, you will have:

  • Strong attention to detail, and strong client service focus
  • An ability to prioritise your time across a number of busy matters 
  • Document production skills
  • Experience with Word, Outlook and Aderant (preferable)
  • Ability to work under pressure, in fast paced environments and be able to prioritise urgency of work
  • Ability to work part of a team and have a flexible and adaptable approach
  • Ability to anticipate Partner requirements to reduce administrative time

I have been working on some big matters and have generally been working on tasks for those matters. Additionally I have been picking up work around that and have gotten experience in making chronologies, summarising medical documents and drafting an advice or brief to counsel.

This is extremely team dependent. Personally I am tasked with the negotiation, drafting and project management of various 'deals' - i.e. the legal aspects of an acquisition or financing which requires contracts to be entered into. At the more junior level (i.e. when you just start) you are typically expected to do banal checks of documents until you prove you have the attention to detail required to: (i) learn what the documents do; and (ii) therefore apply the risk tolerance of your respective client to the words in those documents. This is like learning a new language.

As a graduate I am given the opportunity to get involved in lots of really interesting, high profile matters. I am treated like a lawyer in the team and I am given meaningful work like drafting key legal documents, attending team meetings to contribute to the strategy and conduct of matters, managing the preparation of briefs to counsel, reviewing documents and conducting legal research.
